Clinical Evaluations

At Rappahannock Evaluations, every clinical evaluation includes a clinical interview, a review of prior records, a battery of psychological testing, a written report (including testing results, any diagnoses, and recommendations), and a feedback session to discuss the results. Rappahannock Evaluations does NOT accept health insurance for testing. This is because almost all health insurance companies significantly limit psychological, psychoeducational, and neuropsychological testing to answering a limited question. This means that the insurance company dictates what we can do and limits us, rather than allowing us to use the testing process to describe the individual’s functioning and what they need for success.

Here are some things that help us stand out:

• Private Pay clients who are unsure that they need an assessment or how involved an assessment is necessary may schedule a free 15-minute phone consultation with Dr. Bartlett. You can then decide whether you want to move forward with testing.

• Private Pay clients are often reimbursed by their insurance company for at least a portion of the testing, using out-of-network benefits. We can provide you with an invoice or “superbill” of the procedures that were billed, so that you may file a claim with your insurance and/or submit to your Health Savings Account (HSA) or Flexible Spending Account (FSA).

• All clients participate in an Intake Session/Clinical Interview to review background information and discuss more specific concerns. These are usually about 45 to 50 minutes.

• Our testing sessions are completed in person and designed specifically for you. The evaluations administered are not chosen by an insurance employee who does not know you. We try to complete all testing in one day (or two when necessary) to help limit the time away from school/work. Depending on what needs to be evaluated and the individual testing, the assessment session(s) can take from two to five hours.

• Because we are private pay, we have the ability to observe the client outside of the office if needed.

• The evaluation process involves more than just the time we spend with the client. It also involves scoring all tests, reviewing all documentation, and interpreting the results along with the background information to generate recommendations specific to you.

• We offer diagnoses for all of our clients. However, a diagnosis is not required and, therefore, does not have to go on a medical record. However, if you hope to be reimbursed by your insurance company, we are required to create a superbill with a diagnosis.

• A 50-minute Feedback Session is part of the evaluation process. Dr. Bartlett will discuss all of the test results with you and provide education about any diagnoses. We will also discuss any recommendations and Dr. Bartlett will answer any questions that you might have about those.

• A full report with strengths, weaknesses, and recommendations that you may share with treatment providers, school, work, etc., is also provided.
